The HEI implements e-governance in its operations in all the mentioned areas such as

1) Administration

2) Finance and Accounts

3) Student admission and support and

4) Examination.

On perusing and assessing the accreditation points awarded to our college, we believe that there is a mismatch in the scored points in reference with the Benchmark. Our College has implemented e-governance in its operations in all important fields like Administration, Finance and Accounts, Student admission and Support as well as in Examination, which are undertaken by the institution. Moreover, all the required documents like screen shots of User Interfaces of the modules, Expenditure Statements of the budget heads and annual e-governance reports approved by the college authority have already been uploaded in the SSR and DVV.

The HEI has opted Answer A : All of the above. Answer A carries 4 points in accordance with the benchmark and hence, the HEI expected 4 points but was awarded only 2 points and appeal is, hereby, made for a review of the mentioned metric.

  1. Administration:

The college authorities implement full supervision of all service units in the office through the ERP software. The Administration communicates with Governing Body members as well as the teaching and non-teaching staff through email. All important administrative information including notices is regularly published on the website. 

  1. College Management System (hbc.colles.in)

A college management system is an ERP solution that enables the institutes to conduct online admissions, generate reports, enable online communication, manage curriculum, time tables and conduct online evaluations, track student progress, conduct data analysis, teach remotely, and handle enquiries and leads for admissions in the college. The CMS known as “colles” is a cloud-based CMS that offers a comprehensive solution for managing student enrolment, student attendance, student assessment, and generating online results thereby offering multiple services under one umbrella. This helps in improving the operational efficiency of the campus and improving the college’s decision-making capabilities by analysing large amounts of data. It integrates all departments to serve different needs, thus ensuring inventory reduction, increased productivity, preventing data processing redundancy, etc.

  1. Learning Management System (LMS- Moodle)- ghbcmz.in/lms

Moodle is used in both UG and PG to hand-out study materials and Assignments to the students. It is an open source, secure, feature-rich software platform that runs on any computer server and all common devices to create a web-based virtual learning space containing “courses”.

These course spaces are where teachers can create and arrange a wide array of resources and activities into a rich learning experience; where enrolled students and learners interact and work with each other to achieve the learning goals of the course.

2.  Finance and Accounting:

The financial records for the academic and financial year were maintained using excel and YONO SBI as well as SBI Collect software by the administrative staff. The salary slips and other essential financial information was provided to the staff using e – governance tools.

3. Student Admission and Support system implemented by the institution:

  • GHBC Admission portal -Developed by HL Solutions on 2021 –click
  • GHBC Admission portal- Developed by Hereus.in on 2022- click

Due to Pandemic, the institution carries its admission process through online mode. Admission Portal developed by HL Solutions is used for online admission process via link provided to college website http://admission.ghbcmz.in/. The institution continues to use this Portal and admission process is done semi-online, i.e admission forms are also provided in printouts. Students submit printouts and required documents at respected counters. In 2022, new portal was developed by Hereus.in which facilitates college management activities as well as online admission.

4. Examination:

To achieve Paperless communication between Mizoram University and affiliated colleges, an exam portal http://mzuegov.in/egov/ has been used by the University. Using this portal, colleges may enter student details, staff details, upload internal (CAT) marks, check student enrolment details etc.

During Pandemic, online exam was conducted by the Mizoram University in different modes.

  1. Online Proctoring based in which students can download the mobile apps or may open it using a web browser. (in 2020 Odd Semester Exam)
  2. Online based in which students will write the exams from their home and upload/send the screenshot of their answer script through email. Teachers invigilate the students’ exam using Google Meet Video conferencing.
